A bad review stings — but a calm, helpful reply can win back the customer and impress everyone who reads it later. Here is a simple method plus 10 templates you can adapt.
Every business gets a bad review sooner or later. A delivery runs late, a new staff member has a rough day, or a customer simply expected something different. The review itself is not the end of the world. What matters more is how you reply — because future customers will read your reply long after the angry moment has passed.
A good reply shows that a real person runs the business, that you listen, and that problems get fixed. A defensive or rude reply does the opposite, and it stays on your profile for everyone to see.
“Hi Rohit, thank you for taking the time to share this.” It sounds simple, but it immediately sets a respectful tone.
You don’t have to admit to everything the reviewer claims. You can sincerely apologise that their experience was not what they expected: “We’re sorry your visit didn’t go the way it should have.”
Mention the actual issue — the wait time, the cold food, the billing mistake. Copy-paste replies that ignore the details look careless.
“We’ve added an extra person at the counter during evening hours” is far more convincing than “we will look into it”.
Give a phone number, WhatsApp number or email so the customer can reach the owner or manager directly. Don’t share private details (like order numbers or medical information) in a public reply.
If a review is genuinely fake, abusive or from a competitor, you can flag it for removal through your Business Profile. Still, a short, polite reply is usually wise while Google reviews your report.
Use these as starting points. Always change them to mention the customer’s name and their specific problem — a reply that sounds personal works far better than a template that sounds copied.

If a customer writes in Hindi or Hinglish, it often feels warmer to reply in the same language. For example: “Rohit ji, aapko hui pareshani ke liye hum maafi chahte hain. Humne evening ke liye ek aur staff member add kiya hai. Kripya {phone} par call karein — hum zaroor sudhaar karenge.” Keep it simple, polite and respectful.
Look at your negative reviews every month. If the same complaint comes up again and again — waiting time, parking, cleanliness — that is free advice about what to fix. Customers notice when a business improves, and many will update their review after a good second visit.
